Cleanup

Comments, Bookmarks, and Hidden Text is the section of Cleanup that acts on the following Word features.

Comments

When checked, the Remove Word Comments feature removes Word comments from the file.

From the drop-down list, you have the option to choose which comments you want removed--all comments or only comments from a specific reviewer.

These drop-down options are only populated if more than one reviewer has added comments to the document. Otherwise the only option is to remove all comments.

Bookmarks

When checked, the Remove Word Bookmarks feature removes all bookmarks from the file.

The Word feature Insert Bookmarks allows you to hyperlink and jump to sections of the document. Leaving bookmarks in the file can potentially prevent eXtyles Advanced Processes from running correctly.

Hidden Text

When checked, the Hidden Text Cleanup feature will warn you whenever there is hidden text present in the document.

You are able to choose through the drop-down menu to the right of the feature how Cleanup reveals the text:

  • Flag with Comments (default): Inserts a Word comment that includes the text of the hidden content

  • Make Not Hidden: Reveals the hidden text in the document and includes a Word comment alerting you to its presence

  • Leave As-Is: Does not act on hidden text

 

 

 

 

 

 

 

 

 

Hidden text is a face formatting feature in MS Word that will hide the content from view unless your Word settings are configured to show it.

When used in a document and you’re unaware of it, unwanted Hidden Text has the potential to unexpectedly appear in your downstream workflow.

 

You can configure Word to always display hidden text in a document. Go to File > Options > Display. Under the “Always show these formatting marks on the screen,” check Hidden text. Press OK. Now, instead of being invisible, the hidden text is marked with a dotted underline.

If you don’t want to have this setting on, you can also make hidden text visible by turning on non-printing characters.
